Mentor Ward Committee Pre-Clinical Departments (Phase -1)

Phase I Mentor Ward Committee was constituted in the year 2014 with the following goals, objectives and roles and responsibility.

Goals

  1. Short term goal: To provide a support system which helps you make a smooth transition into your new life as a medical student.
  2. Long term goal: To periodically monitor, assess and guide you which will lead you on a fruitful path that realizes your full potential as a student and as a person.

Objectives

  1. To facilitate the mentors to acquire the requisite knowledge, skills, attitudes, values, and responsiveness, so that they may function appropriately and effectively as physicians of first contact in the community.
  2. Shape students into confident graduates with excellent leadership, communication, critical thinking, professionalism and other skills important to the transition to the world of work.
  3. Equip students with the understanding and tools to make ethical and informed decisions.
  4. Help identify career paths for students and support students’ personal growth.
  5. Provide an opportunity for students to learn and practice professional networking skills

Roles & Responsibilities

a. Responsibilities of Phase Coordinator

  • To co-ordinate between Principal, different phase co-ordinators, department co-ordinators, and mentors.
  • To register wards to mentor ward system.
  • To send attendance report of the students to respective students and their parents every month.
  • To send academic performance report after summative assessment to respective students and their parents every month.
  • To conduct department meeting every month
  • To maintain and update mentor ward files in the department

b. Responsibilities of Department Coordinator

  • To coordinate between the mentors of the department and the phase co-ordinator
  • To send regular attendance and academic performance report of wards to phase co-ordinator every month or as and when directed by the co Ordinator.
  • To submit the report of slow learners in the department to phase co-ordinator after formative and summative assessment
  • To submit the report of remedial measures undertaken for slow learners & advanced learners to phase Co-ordinator

c. Responsibilities of the Mentor

  • Have a clear understanding of your expectations for your mentee
  • Takes the initiative in the relationship but allows the mentee to take responsibility for their growth, development, and career planning
  • Create goals with a timeline
  • Commits to meeting with mentee on a regular basis, not normally during the mentee’s work time, no less than one hour per month and documents the same.
  • Actively listens to mentee
  • Respects mentee’s limits
  • Offer frank, honest, and constructive feedback
  • Be realistic – advise your mentee on your weaknesses and strengths, what you know and don’t know.
  • Evaluates progress in terms of attendance and academic achievements
  • Provides encouragement and assists the mentee in identifying professional development activities
  • Maintains confidentiality
  • Maintains a professional relationship, doesn’t intrude into the mentee’s personal life or expects to be close friends
  • Ends the relationship at the agreed upon time
  • After mentoring is completed, follow up on successes
  • Informs coordinator and provides an evaluation of the mentoring activities to the Mentor Ward Committee regularly and send the report to phase1@bgsaims.edu.in

d. Responsibilities of a mentee:

  • Attend all meetings without fail. If you are unable to make it to a meeting, let your mentor know as soon as possible.
  • Be enthusiastic, curious, and honest about your ambitions when discussing your interests and learning from your mentor.
  • Respect your mentor’s time and space. Be flexible with meeting times.
  • Find out how your mentor would prefer you contact him or her: in person, through e-mail or phone.
  • Keep your mentor(s) informed of your progress. It is important to stay connected between meetings. If your classwork is hectic, you can easily e-mail/call your mentor(s) to let him or her know what is going on in your life.
  • Unless told otherwise, consider the information your mentor tells you to be privileged (confidential).
  • Be receptive to suggestions and feedback.
  • Be patient — your relationship will build over time.
